Leaving UHCL?

Access to UHCL ArcGIS Online, ArcGIS StoryMaps, and other Esri products is restricted to current UHCL students, faculty, and staff. Access for students not enrolled over Spring/Summer but returning in the Fall will continue as usual. Our licensing agreement does not cover alumni or anyone who leaves UHCL. You will lose access to ArcGIS products when you leave the university.

Account Deactivation Process

UHCL ArcGIS accounts will be deactivated after 24 months of inactivity.

When your ArcGIS account is deactivated, you will lose your ability to sign-in to the software, so you will no longer be able to update your content. Our current practice is to deactivate accounts without deleting user content, so any content that’s saved in your UHCL ArcGIS Online account will remain in your account after deactivation, with a few exceptions (see below). Content that’s publicly shared will continue to be accessible to non-UHCL viewers after your account is deactivated.

Content and accounts that might be deleted on a case-by-case basis

  • We cannot host extremely large files for former UHCL affiliates since the ongoing file hosting will negatively impact our available ArcGIS file share and pool of service credits. As such, we may need to remove these files from our site.
  • Learn ArcGIS tutorials, test files, etc. may be deleted from alumni accounts as needed.
  • ArcGIS Online groups with no active UHCL members are periodically removed from our system, but all the content that’s shared to these groups will continue to be stored in group members’ deactivated ArcGIS Online accounts.
  • We also reserve the right to delete inactive legacy ArcGIS user accounts (accounts created pre-2018).

How to Retain Access to your ArcGIS content

If you would like to retain access to ArcGIS Online and your content after leaving UHCL, you will need to transfer your UHCL account content to another ArcGIS Online location.

You have several options:

1: Transfer to another UHCL User

If you own content that you created in collaboration with others at UHCL, and they are still dependent on it (and they are still eligible to use ArcGIS), then you should transfer the ownership of that content to them. For instance, if you created a StoryMap or Web Map for a faculty member to use in their research or teaching, then you should have ownership of those items transferred to them.

2: Transfer Content to a Public (free) Account

An ArcGIS public account is a free account designed for personal, non-commercial use. With a public account you can:

  • Create, store, and manage maps, scenes, layers, apps, and other geospatial content.
  • Share content with others.
  • Access content shared by Esri and GIS users around the world.

3: Transfer Content to a Personal (subscription) Account

An ArcGIS for Personal Use Subscription is a fully functional environment, just like you have been using at UHCL, but just for you. You can transfer your content to your non-UHCL account and continue to work on it and share it with others, such as potential employers, to highlight your skills. After creating a non-UHCL ArcGIS Online account, you can use the “I Want To… Copy Items…” tool in the ArcGIS Assistant to transfer items from your UHCL account to your non-UHCL account. Creating your own account is a great environment with which to continue developing and expanding your GIS skills and includes free access to most of Esri’s training materials. It is for professional development purposes and cannot be used in for-profit activities. The cost is $100 per year.

4: Migrate to another ArcGIS Online organization

If you will be heading off to a job or enrolling elsewhere, and your new organization has their own ArcGIS Online subscription, you could migrate your content to their organization, if permitted.

5: Delete your content

You can delete any content you no longer need. Your content will not be stored indefinitely after you leave the University, and eventually will be deleted.

The Extract Data tool packages the layers from a map into datasets that can be used in ArcGIS Pro, Microsoft Excel, and other products. The Extract Data tool creates an item in your content containing the data from the layers. You can then download the data from the item.
